OUR TERMS AND CONDITIONS

Daddy Daycare Educare reserves the right to review, amend, update, or change its policies, procedures, and terms and conditions at any time when necessary. Parents/guardians will be notified of any updates, and acceptance of the revised terms will be required via an online Google Form or digital document. Continued enrollment and submission of the completed form will constitute agreement to and acceptance of the updated policies

 

GENERAL

​At Daddy Daycare Educare, we are committed to providing a safe, nurturing, and stimulating environment for all children in our care. Our policies are designed to ensure consistency, safety, and mutual respect between staff, children, and families.

We accommodate children between the ages of 3 to 5 years old with only 10 -15 kids per class to ensure your child gets as much one on one attention.
We value open communication and encourage parents to speak to staff regarding their child’s progress, needs, or concerns. Respectful behavior between staff, parents, and children is expected at all times.

Daddy Daycare Educare reserves the right to update policies from time to time, and parents will be notified of any changes in writing. By enrolling a child, parents and guardians agree to abide by the policies and procedures of the daycare to ensure the safety and wellbeing of all children in our care.

 

TRADING AND HOLIDAY POLICY

Daddy Daycare Educare operates Monday to Thursday from 6:00 am to 5:30 pm, and on Fridays from 6:00 am to 4:30 pm. 

The daycare is closed on all public holidays and will close at 5:00 pm on the day before a public holiday. We remain open during the Department of Education school holidays, with the exception of the last week of the June holidays and during December, when we close. 

All school fees, including January and December, must be paid in full to secure your child’s placement for the following year.

SAFETY POLICY

For the safety of every child, only authorized individuals are permitted to collect children from Daddy Daycare Educare. The authorized person must be introduced to staff in advance. In the event of a last-minute arrangement, parents must contact the crèche directly and provide the necessary details of the individual collecting the child so staff can verify their identity. No child will be released without proper authorization.All play areas, classrooms, and equipment are regularly inspected to ensure they are safe, clean, and hazard-free. Regular fire and emergency evacuation drills are conducted to ensure children and staff know procedures. Gates and doors remain locked during operational hours to prevent unauthorized access.

The daycare is a smoke-free, alcohol-free, and drug-free environment. No dangerous or harmful items may be brought onto the premises by parents, children, or visitors. Parents and guardians agree to cooperate with all safety policies, as these measures are designed to protect not only their child but also the entire daycare community.

​

No child will be released to any individual who is suspected to be under the influence of drugs or alcohol, regardless of whether the person is listed as an authorized contact. Staff members are trained in CPR, First Aid, and emergency response procedures, and emergency drills such as fire and evacuation practices will be conducted regularly.

Daddy Daycare Educare reserves the right to discontinue a child’s placement if a parent or guardian’s behavior is consistently disruptive, abusive, or interferes with the smooth operation of the daycare. This includes, but is not limited to: repeated non-cooperation with staff, disrespectful conduct, failure to comply with policies, or creating a hostile environment for staff, children, or other families.

PARENT CONDUCT POLICY

Respectful Behaviour

Parents are expected to communicate respectfully with all staff, children, and other parents at all times.

 

 

Zero Tolerance

The daycare will not tolerate any:

• Swearing
• Threats or intimidation
• Bullying behaviour
• Aggression (verbal or physical)
• Disrespectful messages sent via WhatsApp or any other platform


Any form of misconduct may result in immediate termination of the child’s placement for the safety of the daycare community.

Social Media Conduct

​

Parents may not post any of the following on social media or messaging platforms:


• Negative or damaging comments about the daycare, staff, or children
• Photos or videos of other children without permission
• False or misleading information
• Complaints that should be handled privately


This includes posts on WhatsApp status, Facebook, Instagram, TikTok, or any other online space.

HEALTH AND MEDICATION POLICY

At Daddy Daycare Educare, the wellbeing of every child is a top priority. Children who are unwell must be kept at home to maintain a safe and healthy environment for all. 

Any child showing symptoms of contagious illnesses such as measles, mumps, chicken pox, diarrhea, head lice, scabies or other infections will be sent home immediately and may only return once the condition has fully cleared. This policy ensures the safety, comfort, and wellbeing of every child in our care.

If a child becomes unwell or is injured while at crèche, parents will be contacted immediately. This ensures that every child receives the care and attention they need without delay.

 HYGIENE POLICY

At Daddy Daycare Educare, we believe that a fresh start each day helps children feel confident, comfortable, and ready to learn. We kindly ask that all children arrive freshly bathed and dressed in clean clothes and underwear each morning. We also encourage parents to ensure that their child’s bag is cleaned out regularly so that it remains neat, hygienic, and organized.Children must arrive at crèche neat and well-groomed each day. Hair must be kept clean, combed, and tidy. Nails must be kept short and clean at all times, and nail polish is not permitted. Parents are responsible for ensuring their child’s oral hygiene, including brushing teeth in the morning and evening.

MEALS

At Daddy Daycare Educare, we provide a nutritious breakfast every morning to give your child the best start to their day.

For lunch and snack time, we kindly ask parents to pack a healthy snack and a solid meal from home. This helps us keep all children safe, as we cannot cater for every individual allergy. Leftovers from supper are always a great option.

Some healthy snack ideas include:Yoghurt,Fresh fruit,Cereal bars,Juice,Biscuits

On Fridays, we celebrate Sharing Day. Please pack an extra small treat for your child to share with a friend, helping them learn the joy of kindness and giving.

Please note: fizzy drinks, energy drinks, and gas drinks are not allowed.

DISCIPLINE

Discipline begins at home and is reinforced at Daddy Daycare Educare to ensure a respectful and positive environment for all children. In cases of unacceptable behavior, privileges will be withdrawn as a consequence. Parents will be informed of any incidents of bad behavior, and a way forward will be discussed in partnership to support the child’s development.

TRANSPORT

Daddy Daycare Educare provides transport services exclusively within the Rondevlei area.

Full transport service (pick-up and drop-off): R520 per month per child.

One-way service (pick-up only or drop-off only): R320 per month per child.

Transport fees are payable in advance at the beginning of each month and are non-refundable. Fees are payable regardless of attendance — even if a child is absent, the full monthly fee must still be paid, unless other arrangements have been made directly with the Transport provider.

 

Please note that the transport service is optional and not compulsory. It is offered solely for parents who wish to make use of it. Punctuality is essential to ensure smooth transport operations for all children.

DAMAGE TO PROPERTY

Daddy Daycare Educare strives to provide a safe, welcoming, and well-resourced environment for all children in our care. All toys, furniture, equipment, and learning materials are carefully chosen and maintained to support the developmental needs of the children. In the event that a child deliberately, carelessly, or through repeated rough handling causes damage to or breaks any property belonging to the daycare, the parent(s) or legal guardian(s) of that child will be held financially responsible for the cost of repairing or replacing the damaged items. The daycare will issue a written notice outlining the nature of the damage, the items affected, and the estimated replacement or repair cost. Parents or guardians will be expected to settle this amount in full within the time frame provided in the notice.

It is important to note that this policy does not apply to ordinary wear-and-tear or genuine accidents that are considered a normal part of children’s play and exploration. However, in cases where damage results from negligence, misuse, or intentional actions, accountability will rest with the parent(s) or guardian(s). This measure is in place to ensure that resources remain available, safe, and in good condition for all children, and that the environment continues to be well-equipped for learning and development.

Communication Hours

Communication is open Monday to Friday, from 6:00am to 5:00pm.
Messages sent after hours will be read and responded to the following working day.
Only genuine emergencies will be attended to after hours.

WhatsApp Group Rules

The WhatsApp group is strictly for:
School updates, Reminders, Announcements
The group may not be used for:
Arguments, complaints, or confrontations, Sharing personal opinions or concerns


If a parent has a concern, it must be discussed privately with the principal by appointment.

PHOTO & VIDEO PERMISSION POLICY

 

 Photos and videos are taken for learning purposes, children’s portfolios, class displays, and memories of school events.Parents may choose to opt out of photo/video usage, but they must inform the daycare in writing. Class photos or activity pictures may be shared in the daycare’s WhatsApp group. Photos and videos taken at events and outings may include groups of children. Parents are not permitted to share photos or videos containing other children on any online platform without permission from those children’s guardians.

EMERGENCY & INCIDENT POLICY

 

For minor injuries, first aid will be administered, recorded, and parents will be informed.For serious injuries or concerns, parents will be contacted immediately. Should an ambulance or transport be required, all costs will be the responsibility of the parent or guardian.

 Parents must provide at least 1 active and reachable emergency contacts.

PERSONAL BELONGINGS & LOST PROPERTY

 Children may bring only the following: a labelled bag, extra clothing, food, and any required medication forms.The following items are not allowed: toys, money, jewellery, electronics, sweets, or gum.The daycare will not be held responsible for the loss or damage of any prohibited items brought to school.All personal belongings must be clearly labelled.

ATTENDANCE & ABSENTEEISM POLICY

Regular daily attendance is important for learning and routine.Parents must notify the daycare whenever a child is absent.Sick children must remain at home to protect others and recover properly.

TOILET TRAINING POLICY

Daddy Daycare Educare does potty training .Children aged 3 and older are expected to be partially or fully toilet trained.Parents must send adequate extra clothing, underwear, and wipes daily.
No child will ever be punished or shamed for accidents.

SPECIAL NEEDS & ADDITIONAL SUPPORT POLICY

Parents must disclose any developmental delays, diagnoses, or concerns so that the daycare can plan proper support.
If needed, a facilitator or additional support person may be required at the parent’s cost.
If the child’s needs cannot be safely or effectively accommodated, the daycare may recommend a referral to a more suitable programme or professional.

LEARNING, HOME SUPPORT & SCHOOL READINESS

 Parents are expected to support learning at home through small activities such as practising writing, reading, colouring, and fine motor work.
Children preparing for Grade R need consistent practice and reinforcement of basic skills.
Any referrals to therapists or professionals must be followed through to support the child’s progress and development.

DATA PROTECTION & CONFIDENTIALITY

All personal information about children and families is stored securely and kept confidential.
Parents may not share or discuss information about other children.
Records and information will be shared only with the child’s enrolling parent or legal guardian.

WITHDRAWAL / NOTICE POLICY

A 30-day written notice is required when withdrawing a child from the daycare.
Notice fees remain payable even if the child stops attending during the notice period.
The daycare does not accept notice during December.
Immediate termination may occur for cases of non-payment, aggression, or any behaviour or policy violation that threatens the safety or functioning of the daycare.

STATIONERY & ESSENTIAL SUPPLIES POLICY

To ensure smooth daily routines, hygiene, and quality learning, every child must bring the required stationery and essential hygiene supplies. These items are necessary for class activities, cleanliness, and maintaining a safe environment for all children.

Parent Responsibility

All stationery lists issued by the daycare must be fully provided by the parent.
• Parents must also supply the two main essential hygiene items

:–wet wipes
–rolls of toilet paper, and tissues

Failure to Provide Required Items

To maintain fairness and proper classroom functioning:
If the full stationery list is not provided by Term 2, the daycare will issue a final reminder.
Parents will also be reminded when toilet paper ,wet wipes and tissues are not provided.
If the stationary list items are not provided by TERM 2  after the reminder, the daycare will purchase them and add the cost to the parent’s account.

 

We do not require parents to buy new stationery if an item breaks or gets used up. Only the original list that was sent out needs to be provided

FEES & PAYMENTS

A non-refundable registration fee of R250 is required upon enrollment. A re-registration fee must be paid in December to confirm your child’s placement for the upcoming year. Monthly fees are R1650 and must be paid in full at the beginning of each month. Fees for January and December must also be paid in full.

Fees are payable regardless of attendance. Even if your child is kept at home for part of the month—or even for the entire month—the monthly fee remains due in full.Payment secures your child’s placement, and the monthly fee remains valid even if your child is absent for any period, including the entire month. Non-payment does not affect future enrollment, but all fees must be settled to secure your child’s space.

 

Payment for all school events and fundraisers remains compulsory once arrangements have been made, regardless of whether your child is able to attend or not. This policy ensures that all costs related to planning, bookings, and preparations are covered fairly, as expenses are calculated in advance.

Payments for school events, outings, or extras must be made in advance and are non-refundable, even if the child does not attend.

Partial payments will not secure a child’s place. Full fees must be paid unless a written agreement has been made with the principal. Outstanding balances cannot be carried over to the next month. Each month must be fully settled.

All fees are due in advance the 1st of each month. If fees are not paid by the 7th of the month, the child will not be allowed to attend until the account is settled.No refunds will be given for any fees already paid.

Daddy Daycare Educare reserves the right to terminate placement if fees are consistently unpaid or if payment agreements are not honored.Children will not receive any progress reports, transfer letters, or documentation until all fees are paid in full.

Fees are subject to an annual increase (or as needed) with 30 days written notice to parents.

Fees remain payable even during circumstances beyond our control (e.g. pandemics, strikes, natural disasters) as operational costs continue.

The parent/guardian who signed the contract is the primary account holder and remains responsible for all payments, regardless of any private arrangements with other parties (e.g., relatives, sponsors).

By signing/accepting, parents agree that the daycare may take immediate legal action for non-payment without further warning.

LATE PICKUP FEE

Parents/guardians are required to collect their children on or before the official closing time of Daddy Daycare Educare. 

​

  • A late collection fee of R100 per 15 minutes (or part thereof) will be charged for any child collected after the stated closing time.

​

  • That means:

  • If a parent arrives after the daycare’s official closing time, they will be charged a late fee of R100.

  • The fee is calculated in 15-minute blocks (or part of a block).

  • Even if they are only 5 minutes late, they still pay R100.

  • If they are 16 minutes late, that moves into the second block, so the fee becomes R200.

  • If they are 31 minutes late, it becomes R300, and so on.

​

  • The late fee is payable immediately upon collection or will be added to the following month’s invoice if not settled at the time of collection.

​

  • Repeated late collections may result in:

    1. Increased late fee charges at the discretion of management.

    2. Suspension or termination of the child’s placement, as late pick-ups place an unfair burden on staff and operational resources.

​

  • The late fee is separate from tuition fees and is non-negotiable regardless of the reason for the delay. This includes but is not limited to traffic, work commitments, or personal emergencies.

  • Failure to pay late pick-up fees will be treated as a breach of contract and may result in the account being handed over for collection.

​

This policy is in place to protect staff working hours, ensure the safety of all children, and maintain the smooth running of the daycare.
